Terms of service

These terms are an agreement between you (the "Customer" — typically an event organiser) and ExpoSynapse, governing your access to and use of the ExpoSynapse service: the AI concierge widget, audience-intelligence layer, and organiser portal (together, the "Service"). By starting a trial or using the Service, you agree to these terms. If you are agreeing on behalf of an organisation, you confirm you have authority to bind it.

1. The Service

ExpoSynapse is the intelligent layer for events. You give us an event URL and we index it into a knowledge base; you embed a one-line script on your event website; the concierge then answers visitor questions, recommends relevant exhibitors and sessions, helps build itineraries, captures registrations, and turns conversations into structured audience intelligence for you. We provide the Service "as a service" and may improve, change, or add features over time. We will not materially reduce core functionality of a plan you are paying for without notice.

2. Free trial

We offer a free trial so you can run ExpoSynapse on your own event before committing — your event, not a mockup. The trial is provided on a pay-later basis: you can set it up and evaluate it without payment up front, and you only move to a paid plan if you choose to continue.

  • The trial is for evaluation and may be subject to reasonable usage limits, which we will make clear to you.
  • We may end, suspend, or change the trial at any time, and we may decline or revoke trial access where we reasonably suspect misuse.
  • Continued use beyond the trial, or moving to a paid plan, will be on the commercial terms we agree with you in writing. Those terms are not published here; nothing on this page sets a price.

3. Your account and access

You must provide a valid work email address to register; personal-inbox addresses are not accepted. You are responsible for keeping your access credentials confidential and for activity under your account. Tell us promptly at concierge@exposynapse.com if you believe your account has been compromised.

4. Your responsibilities as an organiser

When you deploy the concierge on your event website, you are responsible for:

  • having the right to use the event content you ask us to index, and the right to deploy the widget on the site where you place it;
  • providing visitors with the privacy information and obtaining any consents required for the data the concierge collects, in line with applicable data protection law (see our privacy notice for how we process data as your processor);
  • the accuracy of the event information you provide, and for reviewing the concierge's outputs before relying on them for business-critical decisions; and
  • complying with these terms and with all laws applicable to your use of the Service.

5. Acceptable use

You agree not to, and not to permit anyone to:

  • use the Service for anything unlawful, harmful, deceptive, or infringing;
  • upload or solicit content that is illegal, abusive, or that you have no right to use;
  • attempt to reverse engineer, scrape, overload, probe, or circumvent the security or rate limits of the Service;
  • resell or provide the Service to third parties except as expressly permitted (for example, multi-show or franchise use we have agreed); or
  • use the Service to build a competing product.

We may suspend access where necessary to protect the Service, our other customers, or third parties.

6. Data and intellectual property

You retain ownership of your event content and of the audience model derived from your event. We process personal data in accordance with our privacy notice and any data processing agreement between us. We retain all rights in the ExpoSynapse platform, software, and underlying technology. You grant us the rights needed to host and process your content in order to provide the Service. We may use aggregated, anonymised, non-identifying operational data to maintain and improve the Service.

7. Service availability

We aim to keep the Service available and reliable, but it is provided on an "as available" basis. We may carry out maintenance and may need to suspend parts of the Service from time to time. Any specific availability commitment will be set out in a separate agreement, not on this page.

8. Warranties and disclaimers

The concierge generates answers using AI and indexed event content. While the system is built to stay grounded in your event data, AI outputs can be incomplete or incorrect, and you should not treat them as professional advice. Except as expressly stated, the Service is provided "as is" and we disclaim all other warranties to the maximum extent permitted by law, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted or error-free.

9. Limitation of liability

To the maximum extent permitted by law, neither party is liable for indirect, incidental, special, or consequential loss, or for loss of profit, revenue, data, or goodwill. Our total aggregate liability arising out of or in connection with the Service is limited as set out in the commercial agreement between us; during a free trial, where no fees have been paid, our liability is limited to the maximum extent permitted by law. Nothing in these terms limits liability that cannot be limited under applicable law.

10. Term and termination

These terms apply for as long as you use the Service. You may stop using the Service and close your trial at any time. We may suspend or terminate access if you materially breach these terms (and do not remedy the breach within a reasonable period), or where required to protect the Service or comply with law. On termination, the rights granted to you end, and we will delete or return your data in line with our privacy notice and any data processing agreement. Sections that by their nature should survive termination (such as intellectual property, disclaimers, and limitation of liability) will survive.

11. Changes to these terms

We may update these terms as the Service evolves. When we make a material change we will update the date at the top of this page and, where appropriate, notify you. Continued use after a change means you accept the updated terms. The current version always lives at exposynapse.com/terms.

12. Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, unless a separate signed agreement between us states otherwise.
